Contact with the buyer and personal data

An order may include buyer contacts. This is personal data, so it must be used carefully and only to process the specific order.

Which contacts can be in an order

Order details may include:

  1. buyer name;
  2. phone;
  3. email, if the buyer provided it;
  4. a WhatsApp action, if the phone is suitable for that contact method.

Some data may be missing. For example, the buyer may not have provided an email or comment.

Why contact the buyer

Contacts are needed for practical order questions:

  1. clarify order contents;
  2. agree on delivery;
  3. say that the order is ready for pickup;
  4. clarify payment;
  5. warn that the order cannot be fulfilled.

Write briefly and to the point. Do not use contacts for advertising, mailings, or third-party offers without a legal basis and the buyer's consent.

How to handle personal data

Personal data is information that can identify or contact a person. In an order, this can include name, phone, email, address, and comments.

Safe handling rules:

  1. use the data only to process this order;
  2. do not move contacts into third-party databases without a legal basis and consent;
  3. do not publish buyer data in open chats, notes, or public places;
  4. do not send data to people who are not involved in processing the order;
  5. do not add unnecessary personal data to order comments.

Copying contacts

If the cabinet lets you copy a phone or email, use that action carefully.

If the contact was not copied automatically, try again or copy it manually. After use, do not leave contacts in unnecessary drafts, notes, or shared documents.

What to do if...

The phone is not visible

Check that the correct order is open and that there is a phone in the buyer block. If there is no phone, use other available data or wait for clarification through a supported workflow.

The email is not visible

Email may be missing if the buyer did not provide it during checkout. This is not necessarily an error.

You need to discuss a disputed situation
